What changes are coming to my Seawolf account?

A Seawolf email and Google App migration began July 22, 2015. SSU IT is providing a new primary email address that will replace the @seawolf.sonoma.edu Gmail accounts. Your new email address will use Exchange instead of Gmail and will use the following format: SeawolfUsername@sonoma.edu (e.g, smith@sonoma.edu).

This new Exchange email account will automatically become your primary SSU email account for all SSU based communications. Users who already have an Exchange account with Sonoma will keep the same email address.

All SSU students and employees have also been provisioned a new @sonoma.edu Google App account with access to apps including Google Drive and Sites. You will retain access to your Seawolf Google account through the fall 2015 semester to ensure you have ample time to migrate email and documents to your new Exchange email account and new @sonoma.edu Google App account.

Seawolf Gmail services moving to Exhange (Email, Contacts, Calendar) and Google Apps (Drive, Google +, Hangouts, Picassa, Sites, YouTube)

Your email, contacts and calendar will be moving from Seawolf Gmail (seawolf.sonoma.edu) to Microsoft Exchange (sonoma.edu). Your Seawolf Google Apps (Google Drive, Docs/Sheets/Slides, Google+, Hangouts,and Sites) will be transitioning to your new sonoma.edu Google Apps account. You will also be given access to Picasa and YouTube in your new sonoma.edu Google Apps account.

How do I access my Sonoma email?

You can access your Sonoma email through SSU Online Services Login or by configuring an email client. More information is available on our Exchange Email & Calendar page.

How long will I have access to my Seawolf Google account?

Seawolf accounts will be accessible throughout the Fall 2015 semester. You will need to migrate any important emails, Google Drive documents, and Google Sites content to your new Sonoma email account and your new Sonoma Google App account as needed.

How can I automatically inform people about my new Sonoma email address?

You can create a "vacation message" that will be sent as an email response to all new emails you receive to your Seawolf Gmail account:

  1. Open your Seawolf Gmail account.
  2. Click on the Gear on the top right and choose Settings.
  3. Click the General tab.
  4. Scroll down the page until you see Vacation responder.
  5. In Subject field, put something like "My New Email Address".
  6. In the Message box, write a message letting folks know that your email has changed and what the new one is.
  7. First day: field. Set this date to the first day you would like this message to be sent.
  8. Remember to click the radio button next to Vacation responder on.
  9. Click Save Changes at bottom of page.

How can I automatically forward new emails from my Seawolf Gmail account to my Sonoma email address?

  1. Login to your Seawolf Gmail account.
  2. Click on the gear button on the top right of the page.
  3. Click on Settings.
  4. Click on Forwarding and POP/IMAP.
  5. Under Forwarding choose Add a forwarding address and enter your Sonoma email address.
  6. Confirm the forwarding address and click Proceed.
  7. A confirmation email with a code will be sent to your Sonoma email address. Enter that code into Verify SeawolfID@sonoma.edu box on the Seawolf Gmail page. Click Verify.
  8. Make sure the box Forward a copy of incoming email to is checked.
  9. Click Save changes.

How can I migrate my existing Seawolf Gmail email to my Sonoma email account?

  1. Open the message that you would like to forward.
  2. Click on the drop-down menu next to the Reply button.
  3. From that menu choose Forward option.
  4. Type your new Sonoma email address in the To field.

How can I bulk migrate messages from my existing Seawolf Gmail email to my Sonoma email account?

To move more than one message at a time between accounts, you will need to set up both accounts in an email client, such as Microsoft Outlook or Mac Mail.

Once both accounts have been configured, highlight the Seawolf gmail messages you wish to migrate. Drag the selected messages into the inbox for your Sonoma.edu email account.

How can I migrate contacts from my Seawolf Gmail to my Sonoma email account?

To migrate your Seawolf Gmail contacts to your new Sonoma email account, you will need to set up your Sonoma email account in an email client, such as Microsoft Outlook or Mac Mail.

Microsoft has created detailed instructions for migrating Gmail contacts into Microsoft Outlook. These instructions can be found by following the link below:

To migrate your contacts using Mac Mail, first log into your Seawolf Gmail account. Go to your contacts in Gmail, then select the More botton. Click Export. In the Export options, choose vCard Format. Export the vCard file to the desktop. Launch Mac Mail. Configure your Sonoma email if you haven't already done so. Go to Contacts. Click File then click Import. Select the vCard file from your desktop.

How can I import my Seawolf calendar in to my Sonoma calendar?

  1. From your Seawolf calendar, click on the gear button in the upper right-hand corner.
  2. Select Settings from the menu.
  3. Click on the Calendars tab then click on the Export calendars link.
  4. This will download a .zip file with each of your calendars in an iCal format. Those files can then be imported into your Sonoma calendar using an email client such as Microsoft Outlook or Thunderbird.

What are Google Apps and how do I access them?

Google Apps are the various applications provided by Google for your Sonoma Google account. You can access these Google Apps through the Online Services Portal (click Login at the top of the sonoma.edu homepage) and select the Google Apps link. You will have access to:

  • Drive – Cloud based application that allows you to create, share, store, and access your files from most internet capable devices.
    File types:
    • Docs - Create and edit documents, similar to Word.
    • Sheets - Create and edit spreadsheets, similar to Excel.
    • Slides - Create and edit presentations, similar to PowerPoint.
    • Forms - Create and edit online forms and surveys.
    • Drawings - Create and edit drawings.
  • Sites - Create and share web pages.
  • YouTube - Google’s video sharing and viewing platform. YouTube requires that you create a new username that will be tied to your Sonoma email address.
  • Picasa - Upload photos and create albums to share.
  • Hangouts - Use text, voice and video chat to connect with others.

How can I migrate my files from my Seawolf Google Drive account to my Sonoma Google Drive account?

You will need to migrate any important files from your Seawolf Google Drive account to your new Sonoma Google Drive account. Simply sharing these files instead of migrating them could potentially cause problems when you no longer have access to your Seawolf account.

  1. Log in to your Seawolf Google Drive account.
  2. Select the documents you want to migrate.
  3. Go to the More Actions (three vertical dots) drop-down menu, and click on Download.
  4. This will compress all the documents into a zip file and download it to your hard drive.
  5. Extract the contents of the zip file to a folder.
  6. Log in to your Sonoma Google Drive account and choose Upload from the My Drive drop-down menu.
  7. Select the documents you want to upload to your Sonoma Google Drive account.

How can I migrate my Google Sites from my Seawolf Google Apps account to my Sonoma Google Apps account?

You will also need to migrate any important sites you have created in your Seawolf Google Apps account to your new Sonoma Google Apps account. Simply sharing these sites instead of migrating them could potentially cause problems when you no longer have access to your Seawolf account.

  1. Log in to your Seawolf Google Apps account.
  2. Navigate to your Google Sites
  3. Select the first site you wish to migrate.
  4. Share the site with your new Sonoma.edu email address.
  5. Before sending the share invitation, choose Is owner in the drop-down menu next to the Invite people dialog box.
  6. Repeat this process with each site you wish to migrate.
  7. Log out of your Seawolf Google Apps account, and log into your Sonoma.edu email account.
  8. Open each shared site from the link in each email invitation.
  9. Within each site, click the gear button in the upper right corner. Under Site Actions, click Manage site.
  10. Click Copy this site. Name the site, and check Include revisions if you would like to keep track of your past changes. Click Copy.

The site is now located in your new Sonoma Google Apps account.
